IXOS Extends E-mail Management and Compliance Solutions for Lotus Notes

Highly Scalable Solution Meets Regulatory Compliance, Improves Performance and Efficiency, Reduces Total Cost of Ownership

ORLANDO, Fla. Jan. 26, 2004 IXOS SOFTWARE AG extended functionality of its Lotus Notes solutions to help enterprises more effectively handle business-critical communication. IXOS’ upgraded solutions for the Lotus platform continue to provide seamless integration with Lotus Notes 5 and 6, while adding compliance capabilities to ensure reliable archiving of digital messages, improve organizational performance and minimize the risks associated with regulatory requirements.
Until recently, e-mail management was viewed primarily as an IT issue. However, today companies are using e-mail more for communications and transactions that have real business, operational, legal and compliance implications. IXOS has responded to this changing business environment by being one of the few ECM vendors to offer enterprise-scale e-mail management solutions for both Lotus and Microsoft Exchange platforms. In addition, IXOS has forged relationships with a growing network of premier partners, including Hitachi Data Systems, StorageTek and Network Appliance, to become the preferred vendor of choice for companies implementing Information Lifecycle Management (ILM) strategies.

Built on IXOS’ proven platform for ECM, the upgraded e-mail management solutions will enable organizations running Lotus Notes to securely manage e-mail within one content repository and to meet the most stringent regulatory requirements of Sarbanes-Oxley, SEC 17a-4, Basel II and GoB. The solution delivers secure document archival, user authentication and document distribution capabilities, and can manage millions of documents in a live system from creation through disposition.

Key ILM features include:

Fine-grained, document-level retention policy to control complete cycle of selected e-mail
Full-text support through integration of Convera to provide unified access to all e-mail and attachments

Archiving on write-once, read-many (WORM) media to meet compliance requirements

Automatic and interactive archiving out of e-mail and application databases

Offline support for remote access to information when disconnected from corporate networks
Linking e-mails to business processes in SAP or Records Management applications to meet compliance regulations

«By enabling customers to select, archive, restore, manage, audit, review and record processes for every single e-mail created, IXOS Solutions for Lotus Notes ensure the authenticity and accessibility of e-mail content throughout its lifecycle,» said Dr. Roman Goetter, product manager, IXOS. «The use of one content repository for all storage and retrieval needs not only simplifies compliance, but also offers savings in costs and administrative time to significantly impact the customer’s bottom line.»

In addition to meeting compliance requirements and ILM needs, IXOS Solutions for Lotus Notes address storage and cost issues relative to the explosion of e-mail. According to IDC, global business e-mail will reach 35 billion per day by 2005, with enterprise mailbox volume growing at 40% annually (Gartner Group). IXOS Solutions for Lotus Notes help minimize space requirements by using optical media to consolidate and store valuable digital messages on any media from cost efficient hard disk and tape to non-rewritable, non-erasable format on CD, DVD-R, or WORM media.

IXOS e-mail management solutions control growing e-mail management costs and offer proven, unmatched scalability. Customers can achieve key operating efficiencies through:

Significant reduction in database size — up to 90%

Reduction in number of servers — up to 75%

Backup times cut from 24+ hours to less than 2 hours

For example, IXOS’ Lotus solution is enabling a major German Pharmaceutical company to archive e-mail attachments from 7,000 users and reduce the amount of data residing on ten Lotus Notes servers by 40% (260 GB).

E-mail solutions for Lotus Notes 5 and 6 with compliance features will be available in Q3, 2004. Pricing is based on solution components and number of seats.
