IBM Enables Organizations to Increase Efficiencies and Reduce Costs in Managing Entire Lifecycle of Business Information
SOMERS, NY — (INTERNET WIRE) — 03/11/2003 — IBM today announced new software that will provide customers with the most comprehensive offerings to digitize, access and manage all forms of information across the enterprise and link it to core business processes, including Web application integration, Web content publishing and rich media.
In addition, IBM is introducing new records management software to help customers digitally manage the entire lifecycle of their business information and more easily comply with recordkeeping mandates and regulatory guidelines. The enhanced software enables customers to integrate records management functionality into their existing business applications, allowing them to increase productivity and reduce paper costs.
Customers are increasingly looking for ways to leverage their existing business assets in an effort to make their business operations more efficient and cost-effective, and reach customers and suppliers faster. IBM’s information management offerings play a critical role in this business transformation, enabling customers to capture their most critical business assets in digital format and manage them throughout their entire lifecycle. According to Meta Group, the enterprise content management market is expected to exceed $10 billion by 2004, with 95% of global 2000 firms deploying a content management solution during this timeframe.

DB2 Content Manager version 8.2 provides enhanced integration capabilities across IBM’s industry leading e-infrastructure middleware, including DB2 Universal Database, WebSphere, Lotus and Tivoli. The new software enables customers to more easily search and retrieve critical business information, replicate information twice as fast, and more easily publish information to the Web for increased usage across the enterprise.
IBM DB2 Records Manager version 2.1 enables organizations to embed recordkeeping policies into their existing business applications, making it easier to declare and manage important business documents as e-records. Now administrators can more easily embed records management capabilities into their existing solutions and apply records management capabilities to physical content in addition to electronic information.
Integrating Information Across the Enterprise
As more corporate data continues to shift from physical to digital format, customers are looking for ways to more easily harness and access their business information across the enterprise. Capturing this information in digital format allows them to become more efficient, respond faster to suppliers and customers, tap into new markets, and ultimately increase profits. Industry experts estimate that employees spend as much as 35 percent of their time looking for information they need to do their jobs.
In an effort to provide customers with a software infrastructure that maximizes the effectiveness of their business documents and applications across the enterprise, DB2 Content Manager is now more tightly integrated with the latest versions of IBM’s leading middleware offerings including DB2 Universal Database, DB2 Information Integrator, WebSphere Portal Server, WebSphere Application Server, Lotus and Tivoli storage management software.
Now customers can extend the use of their business content across the enterprise by allowing it to be more easily published to the Web, as well as make it more readily available through applications. Customers can also benefit from an end-to-end content management offering that enables them to make faster and more informed business decisions, from digitally approving loans and processing claims to conducting commerce and accessing employee, partner, and customer information.
For example, tighter integration of WebSphere Portal with DB2 Content Manager allows users to easily manage the process of editing and publishing content to the Web. Now users can store content created through the WebSphere Portal’s publishing capabilities in DB2 Content Manager for easy access and retrieval as well as review that content before publishing it to the Web or an intranet.
DB2 Content Manager also provides improved LAN caching and replication, allowing users to more quickly replicate business information that is stored in digitized formats including documents, images, audio or video files that are stored in multiple locations across the enterprise. As a result, organizations will experience reduced network traffic when searching for particular items and will be able to slash response time through improved replication and caching features. DB2 Content Manager’s scalability is also improved, requiring less computing memory for tasks, and freeing up that memory for other projects. Now customers can be assured reliable access to critical business information should a particular data store be temporarily unavailable since information can now be accessed from multiple repositories.
Additionally, now developers can leverage out-of-the-box integration when extending CRM and HR deployments, with no delays in accessing business content stored in DB2 Content Manager. The new software includes integration with key ISV applications, helping customers to reduce the costs and resources required to integrate content stored in DB2 Content Manager with these applications, thereby achieving greater productivity through providing users with immediate access to critical information.
Lifecycle Management
According to Meta Group, more than 90 percent of global 2000 companies will have formalized electronic records management policies and the technology infrastructure to support them by 2006. Records management software helps businesses apply formal recordkeeping practices and methods to electronic documents, and deletes information only at the appropriate time, such as in accordance with applicable laws and policies or specific company mandates.
With today’s announcement, IBM is introducing DB2 Records Manager version 2.1 in an effort to help companies more easily apply electronic recordkeeping policies to sensitive information without moving the content from its original source. The new web-based offering is fully integrated with DB2 Content Manager and fully supports DB2 Universal Database, allowing customers to easily declare and classify business content and ensure the security of the content while satisfying recordkeeping requirements. In an effort to support customers’ existing IT infrastructures, Records Manager is designed to integrate with an organization’s existing IT infrastructure, including both IBM and competitive offerings, such as Microsoft and Oracle databases.
For example, a government institution striving to comply with Department of Defense guidelines for document retention may use DB2 Records Manager to ensure documents are classified according to a predefined file plan. When a document expires, the DB2 Records Manager flags the document as ready for deletion and removes the document from the system. This helps organizations ensure that electronic information is maintained only for a specified period of time and deleted at the point of expiration.
The new DB2 Records Manager software also makes it easier for individual users to declare and classify records, at which point lifecycle management will be applied to the document. DB2 Records Manager assigns the appropriate retention and disposition rules to the declared record. The new software includes a more intuitive user interface for corporate records administrators, with improvements in records handling through a new record center console. Records administrators within organizations can now more easily view and manage records because of redesigned report views, including new HTML/PDF report output, and enhanced help online for Web-based administration.
DB2 Records Manager version 2.1 is currently certified compliant with the US DoD 5015.2 — STD June 2002 standard, which applies for all U.S. Department of Defense agencies. In addition, the software may help customers meets a variety of additional government and industry regulations requiring formal records management, including: the Health Insurance Portability and Accountability Act of 1996 (HIPAA), Securities Exchange Commission (SEC) Rule 17a-4; and the Food and Drug Administration (FDA) Rule 11 (21 CFR part 11), which is required of human and veterinary pharmaceutical companies as well as biological products, medical device, and food interest groups.
General Availability
IBM DB2 Content Manager version 8.2 will be generally available on April 30, 2003. Content Manager version 8.2 is priced at $24,000 per server and $2,000 per concurrent user and supports multiple platforms, including Sun, AIX, NT, Windows 2000 and zSeries eServers.
IBM DB2 Records Manager version 2.1 will be generally available on March 31 and is priced at $24,000 per server and $250 per concurrent user. Though optimized for Windows 2000, applications running on any platform can be enabled to run on the Records Manager.
